What is the difference between refundable and non‑refundable airfare?

Non‑refundable airfare is typically the most cost‑effective option and is the preferred fare type under the University’s Travel Policy. If a trip is canceled, airlines generally issue an unused ticket credit equal to the value of the original ticket. This credit must be used for future University business travel with the same airline and is subject to the airline’s expiration date and terms.

Refundable airfare is typically more expensive; however, it may be purchased in appropriate circumstances (such as for guest travelers, recruits, or employees with frequently changing travel schedules). The purchase of refundable fares is at the unit’s discretion and should be supported by appropriate business justification and documentation. If a trip is canceled, refundable airfare allows the full cost of the ticket to be returned to the original form of payment, in accordance with the airline’s refund conditions.
