Business Travel Updates

The Office of Business and Finance in coordination with the University Travel Office is pleased to announce our extended partnership with Anthony Travel.  Effective July 1, 2025, Anthony Travel will replace Corporate Travel Planners (CTP) as the Travel Management Company for individual business travel.

Anthony Travel has been a trusted partner of Ohio State Athletics for 5 years, and we are eager to extend their core values and exceptional customer service standards to faculty, staff, student, and guest business travelers.

Anthony Travel is a national leader in university & athletic travel management. They are partnered with over 100 institutions of higher education, including peers such as Penn State University, the University of Notre Dame, Arizona State University, the University of Arkansas and the University of Texas.  

Important Considerations:

  • While the Travel Management Company is changing, the Travel Policy will continue to require employee business travelers to procure airfare from the contracted Travel Management Company.
  • All individual business travel bookings that need to be purchased before July 1, 2025, must be booked with Corporate Travel Planners. Any bookings procured through Corporate Travel Planners on or before June 30, 2025, will continue to be serviced by Corporate Travel Planners through trip completion.
  • Concur will continue to be the online booking tool.  After July 1, new bookings will be serviced through Anthony Travel.

What are some of the benefits of this new partnership?

The benefits of this new partnership include:

  1. Comprehensive travel management services, including:
    • Individual air, car, and hotel reservations (domestic and international)
    • 24/7 travel assistance for emergency needs
  2. No service fees to the University
    • Our partnership with Anthony Travel is being funded centrally by the University; so, they will not charge any agency ticketing fees at the time of booking.
  3. Online booking tool integration
    • Anthony Travel supports our online booking tool (Concur). The customized online solution is managed by Anthony Travel; it accommodates all University travel rules and preferences and is available to you 24 hours a day. Concur will display all your current and past trips and will communicate any unused tickets that you may have on file. All air, hotel, and rental car bookings will be reviewed and quality-controlled prior to ticketing.
  4. Experience in managing University travel
    • Anthony Travel’s team dedicated to our account has over seventy years of experience in managing and servicing University travel. Their knowledge, guidance, and buying power will assist us greatly in maximizing our vendor partnerships and savings.
Who can I contact to address questions about my upcoming business travel?

Questions regarding that status of your Spend Authorization should be directed to your unit. 

Questions regarding the timing of booking travel with the new or incumbent travel management company should be directed to the University Travel Office.

Am I required to book my business travel airfare through the contracted travel management company?

Yes, there are no changes to the University Travel Policy.  For more details, link to the Travel Policy (Procedure I.B.)

Individual Business Travel airfare must be booked through Corporate Travel Planners (CTP)/Concur through June 30, 2025.

Individual Business Travel airfare must be booked through Anthony Travel/Concur after July 1, 2025.

 

My business travel takes place after July 1, 2025, when should I purchase my airfare?

Airfare can be purchased after you have secured an approved Spend Authorization in Workday. To ensure flight schedule selections meet your business travel needs, it is recommended to purchase airfare at least 2-3 months before departure.

If purchase is made on or before June 30, 2025, you must book through Corporate Travel Planners (CTP) or through Concur.

If purchase is made on or after July 1, 2025, you must book through Anthony Travel or through Concur.

Is there a service fee charged for booking my business travel?

After June 30, 2025 any previously booked travel with Corporate Travel Planners will be charged a service fee with any changes made by the traveler to an existing booking. When that fee is charged to the university’s ghost card, it will be expensed centrally and not billed to the unit.

After July 1, 2025, there are no services fees that will be billed to the traveler’s itinerary for new or changed bookings by Anthony Travel.

If I need assistance during my business travel, who do I contact?

The travel management company that booked your flight (and other reservations) will service your booking through completion of your trip. For emergency assistance, you should refer to the itinerary for business and after-hours contacts.  That contact information is also listed at the Travel Website.

Is Concur still the online booking tool offered for Business Travel after July 1, 2025?

Yes, Concur is the mainstream online booking tool for university business travel.  The travel management company serving the bookings will switch from Corporate Travel Planners (CTP) to Anthony Travel on July 1, 2025.  The link may change, so it is best to login through the Travel Website.  Login credential will not change for employee access.

Will the contents of my Concur profile automatically transfer?

All profile content will be transferred under the Anthony Concur account on July 1, 2025. All secure data elements (e.g., credit card #) entered by the employee is securely encrypted.

I have unused airfare credits from a previous business travel cancellation.  Where will I access my credits?

Unused airfare credits must be used toward new business travel (not personal) before expiration.  Travelers with unused airfare credits will be notified directly with additional instructions.  

Where can I find the new travel management company's contact information?

Although Anthony Travel is currently servicing the Athletic Business and Teams account, contact information for the Individual Business Travel account will not be available until July 1, 2025 at the Travel Website.
