Guide to Hotel and Event Space Contracts

General Contract Information and Reference
  • The Sourcing Team has negotiated rates, discounts, and terms with local hotels and event spaces for use by the University as part of a competitive Request For Proposal (RFP). The hotels and event venues listed on the contract book pages are all awarded properties as part of the RFP. The scope of these contracts includes individual and group accommodations, meeting spaces, event spaces, audiovisual services, food and beverage services, and additional event services. Negotiated terms include pricing, cancellation, attrition, concessions, etc. For additional contract details, please contact Marcy Blumberg.55 in Sourcing.
  • As part of the master agreement, individual and group reservation and events that require a signature must be made using pre-determined event exhibits.  Contracts requiring signature are to be submitted through OnBase Agreements.
  • The requesting department is responsible for following all purchasing, travel and Pcard policies.
  • The Ohio State University is exempt from State Sales Tax and from Columbus Excise (Occupancy) tax.
Order of Preference

The order of preference for booking local accommodations and event centers is as follows:

  1. The Blackwell Inn and Pfahl Conference Center (Internal supplier)
  2. Contracted Properties
  3. Non-contracted properties

OSU users are expected to exhaust internal and contracted options before pursuing use of a non-contracted property (additional documentation might be requested to approve utilization).

Contract Definitions
  • BAR: Best Available Rate. The BAR is the lowest non-negotiated rate for a particular day that is available for guests to book. The BAR fluctuates with the market and each hotel may change the BAR on a daily basis to meet demand, local conditions, etc.
  • LRA: Last Room Availability. LRA means that as long as the hotel has a room for sale (in the given room category), then the room and contracted rate will be extended to the University.
  • NLRA: Non- Last Room Availability. NLRA negotiated rates are available to the University at the discretion of the hotel, often based on demand and availability.
