Getting Started with the Internship Program

Hiring an intern can seem overwhelming, but this summary below should provide you with everything you need to get started with a step-by-step list and links to resources.

Assessing your need. Determine the semester a student intern is needed to meet the required timelines.

Prepare a Position Description. See the Position Description (PD) section to see the required items that must be listed in the PD. 

Note: At the bottom of the PD, request to have a cover letter and resume provided.

Confirm funding source. Please see the Funding section.

HR approval. Submit to Human Resources (HR) for approval and wage range assignment. Review the Position Description Resources Section and allow 1 week of processing time.

Post job in Workday. Requires Job Management (JM) Supervisory Organization in Workday to post a position and track applicants (contact HR if needed).

Contact the College Partner. Share the internship opportunity (PD, link, and requisition number) with your College Partner.

Screening and interviews. Provide a list of students who have applied for the internship position to the College Partner. Screen candidate resumes, set up interviews, and then conduct interviews.

Making an offer. Reach out to HR Consultant to make an offer. A verbal offer can be provided to the candidate before a formal offer if desired, once the offer has been approved by HR.

Will provide a formal offer letter via Workday, perform a background check, and get the candidate hired in Workday.

Technical Support. Order computer set up through IT. Log into OSU IT Self-Service to order a “name.#s email” for the intern (University E-mail Service - Student Account Request).

When the above is complete, order the following: 

IT will reach out to schedule the computer installation.

Before the intern's first day. Review office-specific procedures prior to the first day.

  • Are there software programs requiring an access request?
  • Arrange access to your suite.
  • Arrange an appropriate office space for the student.

Communication. Notify the Business and Finance Department of the student interns.

Provide B&F Director of Communications with the student’s resume, email and start date.  B&F Leadership will send a welcome letter to the student and copy the Hiring Manager.

First day and beyond. Make this a welcoming and rewarding experience for this intern by creating agendas as seen in the resources for Onboarding and Evaluations section.

On-going process. Periodic reviews with the intern are required but do not have to be cumbersome. Please see the Resources for Onboarding and Evaluations section below for a sample evaluation.
